Alzheimer Europe is looking to immediately fill the following Luxembourg-based positions:

• Project Administrator (m/f/x) 

• Administrative and Conference Assistant (m/f/x)

Salaries and careers 

The salaries of Alzheimer Europe staff members are determined according to the careers and grades fixed in the organisation’s Financial Regulations and in accordance with the below salary table. Salaries are expressed in points, and the value of the point is fixed according to the collective agreement of the social sector in Luxembourg (The value was EUR 23.40072 as of 1 May 2025). The Project Administrator is employed in career U1 and the Administrative and Conference Assistant in career S. Newly employed staff members will start their career at grade 1, unless their previous work experience warrants a higher level. Employees benefit from annual advancements in salary grades and will be awarded a holiday allowance in June of 3.5 points per full month worked in the previous year and an end of year allowance which amounts to 1/24 of the yearly salary.

1 Project Administrator (m/f/x) (Full time) 

On a permanent basis 

As the Project Administrator, you will: 

• Support the administration and financial management of EU and FNR (Fonds National de la Recherche) funded research projects, as well as the organisation’s operating grant for associations of persons with disabilities awarded by the Citizens, Equalities, Rights and Values Programme of the European Union 

• Lead the financial reporting for research projects and the operating grant including staff time, travel and other costs and support project audits, if required 

• Track the development of project and operating grant deliverables to support timely submission 

• Track project and operating grant finances and report to the Alzheimer Europe Management Team and Board with monthly updates 

• Support the periodic and final reporting of research projects and the operating grant via the EU participant portal and FNR grant management system 

• Support the development of the organisation’s Annual Report with a focus on project and operating grant activities 

• Help with the identification of relevant project calls and support the development of project and operating grant applications including the budgets for the contributions of the Alzheimer Europe team. 

You should have the following experience and qualities: 

• Completed university education in project management, public policy or similar 

• Significant experience in European research project administration and financial management. Horizon Europe or FNR experience (including use of EU and FNR grant management portals) will be considered a plus 

• Perfect knowledge of spoken and written English (additional European languages would be considered a plus) 

• Understanding of basic budgeting and accounting 

• Proficiency in Microsoft Office applications – experience of the EU participant portal and/or FNR grant management portal and knowledge of Sage BOB would be considered a plus 

• A keen sense of responsibility and initiative 

• Ability to work closely with colleagues across various teams, demonstrating strong interpersonal skills.

1 Administrative and Conference Assistant (m/f/x) (Full time) 

On a permanent basis 

As the Administrative and Conference Assistant, you will: 

• Support the organisation of Alzheimer Europe’s Annual Conference and other meetings through the following tasks: 

o Deal with registrations (invoices, checking payments and reminders) and registration requests from participants (cancellations, changes)

o Support the abstract submission process and help with abstract formatting and the development of the programme book 

o Support the follow-up with conference sponsors 

o Deal with staff expenses for meeting attendance.

• Ensure effective office administration through the following tasks: 

o Handle telephone calls, contacts with internal and external partners, messages and requests 

o Help with invoicing and prepare payments for signature by the Executive Director and Board 

o Upload invoices, receipts and other financial documents for external accounting and audit company

 o Liaise with external payroll agency for staff absences and holidays 

o Deal with office supplies and office-related administrative tasks 

o Keep mailing lists and databases up-to-date 

o Respond to general mail requests and deal with filing 

o Where required, support the team in preparing minutes for core meetings 

o Demonstrate flexibility by assisting with occasional ad-hoc projects and urgent requests. 

You should have the following experience and qualities: 

• Completed secondary education and extensive experience in a similar position (education or background in administration, communication or secretariat would be considered an advantage) 

• A perfect knowledge of written and spoken English (knowledge of French and other European languages would be a plus) 

• Good writing and communication skills 

• Proficiency in Microsoft Office applications – knowledge of Sage BOB could be a plus, but not essential 

• A keen sense of responsibility, initiative and ability to work in a small team.
